Job description

  • to keep computer equipment, infrastructure and software operational
  • to make it functioning in an efficient way
  • to give support to users


Priorities

  • 1 - servers / workstations
  • 2 - software
  • 3 - hardware
  • 4 - file back ups (incl. ShipConstructor)
  • 5 - internet
  • 6 - mail system
  • 7 - alarm system
  • 8 - electric system (incl. UPS, documentation, procedure for power failure)
  • 9 - phone system (1 person answers incoming calls and can transfer to any any other colleague)
  • 10 - music server
  • 11 - to document ICT environment of Navyk
  • 12 - CRC services (maintenance, internet, back ups, contract)
  • 13 - Navyk-I (back up, software update, maintenance)
  • 14 - ERP (hours, invoices, finances, licenses, depreciation, personel)
  • 15 - website (technical implementation)
  • application manager for:
    • AutoCAD - installation, profiles
    • ShipConstructor - database + back ups
    • NX - database + back ups

MAINTENANCE

To be scheduled in calendar

  • manual defragmentation of Windows Server
  • manual defragmentation of non SSD workstations
  • software updates when and where? (for example Filezilla and PDF Creator)
  • printers maintenance for CRC (dedusting, greasing, cleaning drum)

SERVERS

Windows server

  • currently 15 CAL licenses (required 1 per WS) - alomst reaching the limit, pending on planning of growth and new server if we will extend the current CAL

WORKSTATIONS

  • recovery disk (images) for NX stations?
  • XP stations will not be upgraded despite that MS stopped support (not worth it)
  • make roaming profiles for:
    • user1
    • user2

OTHER HARDWARE

  • webcam - to test at least for users who collaborate with Jan van der Weide (Steven, Tiberiu, George)
  • beamer - for presentations (what screen to use?) - to be discussed

BACK UPS

  • make hardcopy projects up to 2009

USER RIGHTS

  • user rights - make structure (administrator / power user / normal user) now we have several people who log in as administrator - only NX people and Ovidiu have admin rights on their workstations
  • Ligia is logged in as administrator only for KP to appear as a male user in NX - SH will discuss this with KP

SOFTWARE

  • make software policy for company and for users - to be done
  • create a list of installed cracks (especially BSA software) - done
  • anti virus
    • maximum 9 Windows Essential - done
    • other workstations with Avira (gives 2x per day an annoying pop up) - can't do anything about that
  • monitor for installed software and hardware workstations - tried it. not really feasible (slows WS too much). done hardware inventory and users can't install software
  • monitor for software use - to track the usage of applications (useful ifno for purchase) - work in progress

Zimbra

ERP

Navyk-I and Dokuwiki

ALARM

  • activation - indicate with light visible on a camera (remote verification) - will investigate if it's possible
  • cameras are unaccessible from phone - yes they are
  • improve back up search - can't really do anything about it
  • power failure procedure (mobile call) - tested
  • remote back ups - not possible automatically
  • server room temperature - blinking light visible on camera (remote verification) - work in progress
  • write procedure in Navyk-I, including maintenance / testing schedule (incl. smoketest) - add codes to user profiles? - to be done
  • add Yankee contact details to Zimbra - done
  • when the acoustic alarm is activated? - 10 seconds after the alarm was tripped
