Job description

  • to keep computer equipment, infrastructure and software operational
  • to make it functioning in an efficient way
  • to give support to users


Priorities

  • 1 - servers / workstations
  • 2 - software
  • 3 - hardware
  • 4 - file back ups (incl. ShipConstructor)
  • 5 - internet
  • 6 - mail system
  • 7 - alarm system
  • 8 - electric system (incl. UPS, documentation, procedure for power failure)
  • 9 - phone system (1 person answers incoming calls and can transfer to any any other colleague)
  • 10 - music server
  • 11 - to document ICT environment of Navyk
  • 12 - CRC services (maintenance, internet, back ups, contract)
  • 13 - Navyk-I (back up, software update, maintenance)
  • 14 - ERP (hours, invoices, finances, licenses, depreciation, personel)
  • 15 - website (technical implementation)
  • application manager for:
    • AutoCAD - installation, profiles
    • ShipConstructor - database + back ups
    • NX - database + back ups


Task list

SERVERS

  • Bogdan, please complete below listing and indicate for each server:
    • their function
    • how the back ups are performed

Windows server

  • currently 15 CAL licenses (required 1 per WS) - do we already need to buy a new package?
  • schedule automatic defragmentation:
    • every 2 months
    • on sunday
    • staff to be informed that working will not be possible on that day (Zimbra notification)

FTP server

  • reinstall
  • possibly split in near future to decrease impact of down time?

UPS

  • to investigate desired capacity

server room

  • bungee cord securing to the wall
  • wall support for NAS


WORKSTATIONS

  • schedule automatic defragmentation for the non SSD workstations
  • cable conduits on floor
  • desks - tie cables
  • WS-1 - Marlena's profile is on D: and might not be automatic backed up, move back to C?
  • schedule WS maintenance by CRC

new users

  • create the following accounts:
    • mail
    • Skype
    • ERP
    • Wiki Projects
  • add the mail account to (Zimbra):
    • Navyk adressbook
    • 'staff' distributionlist


OTHER HARDWARE

  • printers to schedule maintenance for CRC (dedusting, greasing, cleaning drum)
  • camera - for users who collaborate with Jan van der Weide
  • beamer - for presentations (what screen to use?)

BACK UPS

  • copy 2007 projects back to server
  • make hardcopy projects 2009 BUT first copy the mail to the prjects


USER RIGHTS

  • user rights - make structure (administrator / power user / normal user) now we have several people who log in as administrator
  • Ligia is logged in as administrator only for KP to appear as a male user in NX - SH will discuss this with KP


SOFTWARE

  • make software policy for company and for users
  • create a list of installed cracks (especially BSA software)
  • anti virus
    • maximum 9 Windows Essential
    • other workstations with Avira (gives 2x per day an annoying pop up)
  • monitor for installed software and hardware workstations
  • monitor for software use - to track the usage of applications (useful ifno for purchase)
  • LMTools - to make a batch file that would restart it daily (Tabo's request)

Zimbra

  • application manager - Bogdan
  • back ups
  • security: create/delete folders only by project leader or higher
  • security: smartphones, if you loose phone and it is not protected then a stranger can access our Zimbra?
  • profile Steven - adress book is not on alphabetical order
  • notifier - does not notify for new mails in subfolders

ERP

Navyk-I and Dokuwiki

  • introduce / establish levels of user rights (administrator / power user / normal user)

AutoCAD

  • remove undesired printers from list

ShipConstructor

  • automatic backup databases?
  • investigate how to restore db in case of hardware falure from remote backups (in comaboration with the designated App manager... Pending for Steven to designate someone)
  • move all databases to db partition

Siemens NX

  • Document on Navyki how to install NX and how to customize it (in comaboration with Gicu)
  • Investigate how backups can be restord (In colaboration with NX users)

  • index for 3D model library
    • idea is to add tags to file name (for example: supplier, article group, article code, visualization/engineering)
